If you have ever responded to a public sector tender, you know the feeling. A sixty page specification, a forty question response form, and a deadline that somehow always lands on a Monday.

Most of that time is not spent being clever. It is spent reading, finding the relevant bit of a previous answer, and rewording it to fit. That is exactly the work Claude is good at.

Set up a proposals project once

In Claude, create a Project called something like Proposals. Into its knowledge, upload the material you would normally dig through:

Your three or four best previous proposals. Case studies with real numbers. Your standard pricing and day rates. Policies that come up again and again, such as insurance, health and safety, and data protection. A short note on how you like to sound.

This takes an hour. You only do it once, and you keep it updated as you win work.

Then, for each new tender

Upload the tender documents into a new conversation inside the project and start with understanding, not writing:

Read this tender. List every question we must answer, the word limit for each, the scoring weight, any mandatory requirements, and the deadline. Flag anything that would stop us bidding.

That summary alone often saves a couple of hours, and it occasionally tells you not to bother, which saves the whole weekend.

Then work through the questions one at a time:

Draft our answer to question 4 using our case studies and policies. Stay under 500 words. Where you need a fact we have not provided, write [CHECK] rather than guessing.

That last instruction is the most important line in this guide. It stops the model inventing a statistic to fill a gap.

What you still have to do

Read every word. Add the specifics only you know. Make sure every [CHECK] is resolved. Claude gets you to a strong seventy per cent draft quickly; the last thirty per cent is where you win the contract.

When it is worth going further

If you bid regularly, we can build a proper bid library that keeps your best answers organised, scores new tenders for fit automatically, and assembles drafts in your template. For businesses that live on tenders, that often pays for itself on the first win.
