Is ChatGPT safe for UK small businesses? Privacy and GDPR in plain English
Your staff are almost certainly already using ChatGPT. The question is not whether, but whether they are doing it safely.

Here is an uncomfortable truth. In most small businesses, somebody is already pasting customer emails, contracts or spreadsheets into a free AI account to save time. They are not being reckless. They are being efficient, and nobody told them where the line is.
So the useful question is not "should we allow it" but "how do we make it safe".
The difference between personal and business accounts
This is the single most important point. On free and personal plans, your conversations may be used to improve the models unless you switch that off in settings. On the business plans of both ChatGPT and Claude, your data is not used for training by default, you get an agreement covering how data is processed, and you control who has access.
If your team handles customer information, get them on a business plan. It is not expensive, and it is the biggest single step you can take.
What GDPR actually asks of you
GDPR does not ban AI. It asks the same things it always has. Know what personal data you are using and why. Only use what you need. Make sure anyone processing it on your behalf has proper terms in place. Be able to tell people what you do with their data.
In practice that means checking the provider's data processing terms, mentioning AI tools in your privacy notice if you use them with customer data, and keeping sensitive categories, such as health information, out unless you have thought it through carefully.
A one page staff policy
You do not need a thirty page document. You need a page your team will actually read:
Use only the company account. Never personal accounts for work.
Keep out the sensitive stuff. No bank details, passwords, health information, or anything marked confidential by a client.
Remove names where you can. "A customer in Leeds" works just as well as their full name for most tasks.
Check everything before it goes out. AI drafts, people approve.
Ask if unsure. Name the person to ask.
When you need more than a policy
If you want AI working on customer data automatically, such as reading enquiries or processing documents, the setup matters more. That is where we build systems that send only the necessary information, keep records of what was processed, and run under proper business agreements. If you would like a quick, honest review of how your team is using AI today, get in touch.
